When collony.ai is used within a customer’s Telegram or Discord community:
The community owner or administrator is the data controller.
collony.ai acts as a data processor, processing data on behalf of the customer and according to their instructions.
For data collected directly through our website (e.g. contact emails, billing), collony.ai LLC acts as the data controller.
2. Data We Process
When collony.ai is active in a community, we may process:
Message content: chat messages analyzed for moderation, spam detection, or automated responses.
Metadata: usernames, user IDs, timestamps, and group or channel identifiers.
Moderation logs: moderation actions, rule violations, and bot responses for observability and troubleshooting.
Account and billing data: limited customer information required for billing, processed via Stripe (we do not store payment card details).
We do not intentionally process special categories of personal data (such as health, political opinions, or religious beliefs).
3. Purpose and Legal Basis for Processing
We process personal data only where legally permitted:
Service delivery: to provide moderation, automation, and insight features. (Contract – Art. 6(1)(b) GDPR)
Security and improvement: to monitor performance, prevent abuse, and improve reliability. (Legitimate interests – Art. 6(1)(f) GDPR)

We do not use community data for advertising or profiling.

AI service providers (e.g. OpenAI) strictly for processing moderation and response generation, acting as sub-processors.
Payment providers (Stripe) for billing and subscription management.

We retain data only as long as necessary:
Moderation and observability logs: typically up to 90 days, unless extended for security or compliance.
Community messages: not stored permanently and only retained within the log retention period.
Billing records: retained as required by applicable tax and accounting laws.
After retention periods expire, data is deleted or anonymized.
6. International Data Transfers
Some sub-processors (such as AI or payment providers) may process data outside the European Economic Area, including in the United States.
Where applicable, we rely on Standard Contractual Clauses (SCCs) and other lawful safeguards approved by the European Commission.
