When collony.ai is used within a customer's Telegram or Discord community:
The community owner or administrator is the data controller.
MEA Ventures MB acts as a data processor, processing data on behalf of the customer and according to their instructions.
For data collected directly through our website (e.g. contact emails, billing), MEA Ventures MB acts as the data controller.
Business customers who require a Data Processing Agreement (DPA) may request one at [email protected].
2. Data We Process
When collony.ai is active in a community, we may process:
Message content: chat messages analyzed for moderation, spam detection, or automated responses.
Metadata: usernames, user IDs, timestamps, and group or channel identifiers.
Moderation logs: moderation actions, rule violations, and bot responses for observability and troubleshooting.
Account and billing data: limited customer information required for billing, processed via Stripe (we do not store payment card details).
We do not intentionally process special categories of personal data (such as health, political opinions, or religious beliefs).
3. Purpose and Legal Basis for Processing
We process personal data only where legally permitted:
Service delivery: to provide moderation, automation, and insight features. (Contract, Art. 6(1)(b) GDPR)
Security and improvement: to monitor performance, prevent abuse, and improve reliability. (Legitimate interests, Art. 6(1)(f) GDPR)

We do not use community data for advertising or profiling.

We retain data only as long as necessary:
Moderation and observability logs: typically up to 90 days, unless extended for security or compliance.
Community messages: not stored permanently and only retained within the log retention period.
Billing records: retained as required by applicable tax and accounting laws.
After retention periods expire, data is deleted or anonymized.
6. International Data Transfers
Some sub-processors (such as AI or payment providers) may process data outside the European Economic Area, including in the United States.
Where applicable, we rely on Standard Contractual Clauses (SCCs) and other lawful safeguards approved by the European Commission.

Where collony.ai processes data within a community as a processor, requests from community members are generally directed to the community administrator, who acts as the data controller. We assist our customers in responding to such requests as required.
Please note that deletion or modification of data may be limited where collony.ai does not control the original source platform (e.g. Telegram or Discord) or where retention is required by law.
9. Children’s Data
collony.ai is a tool for community administrators and is not directed at children. Where collony.ai is deployed in a community, the community administrator acts as the data controller and is responsible for establishing an appropriate basis for processing any data relating to minors who may be present, including reliance on the age requirements of the underlying platform (such as Telegram or Discord).
